Set up an immediate auto-response, or a follow up email that sends when a unit becomes available.
Set up an Immediate Auto-response for Waiting List Inquiries
- Click "Websites" from the main navigation bar
- Click "Website List" from the sub menu
- Select the "Edit" button on the website you wish to make changes to
- Click "+ Forms" in the navigation sub menu on the left
- Click on "Settings" from the resulting sub menu on the left
- Select your Waiting List form to access its properties
- Navigate to the 'Email Notification Settings' tab at the top of the main form area
- Select 'Auto-response Notification' to toggle it ON
- Fill out all of the necessary fields
- Select the "Save" button in the bottom right to save changes
The Auto-Response Override "From" field allows you to select which email addresses the auto-responses come "from". The Auto-Response Subject field allows you to define the subject line of your auto-response. The Auto-Response Message field allows you to create the body of the auto-response email.
Set up a Scheduled Follow-up Auto-response for Waiting List Inquiries
- Click "Websites" from the main navigation bar
- Click "Website List" from the sub menu
- Select the "Edit" button on the website you wish to make changes to
- Click "+ Forms" in the navigation sub menu on the left
- Click on "Settings" from the resulting sub menu on the left
- Select your Waiting List form to access its properties
- Navigate to the 'Email Notification Settings' tab at the top of the main form area
- Select 'Scheduled Follow up Notification' to toggle it ON
- Fill out all of the necessary fields
- Select the "Save" button in the bottom right to save changes
The Delay (# of hours) field allows you to set the number of hours after a unit becomes available that the follow-up email will be sent. The Consent Disclaimer is a required field that prospects must consent to in order to receive the follow-up email. The Follow-up Override "From" field allows you to select which email address the follow-up response comes "from". The Follow-up Subject field allows you to define the subject line of your follow-up email. The Follow-up Message field allows you to create the body of the follow-up email.
Customizing the Auto-response Messages
You can customize the auto-response messages that will be sent to prospects after they submit a Waiting List inquiry or after a unit becomes available using Interpolation.
Interpolation refers to adding dynamic data from your form into otherwise static text. This is done by adding a key in double squared brackets within your text.
The key can be the Form Name of any field in your form (located under "Show Advanced"). If a Form Name says [auto], you can add one yourself or save the form to generate one first.
Interpolation keys can also be one of the following predefined keys, which refer to the details of a building or city, if either is selected in some way.

Tip: An automated follow-up email will send automatically once a unit becomes available. To ensure a prospect does not receive a follow-up email following a certain time period after their initial response, be sure to fill out the Expiry field.
