How to Set Up and Manage Tour Property Settings

Property settings control how the tour widget behaves for each individual building including time slots, buffers, auto-approval, and time zones.

Where to Find Property Settings

Navigate to Tours > Settings > Property Settings to see all properties with Tours enabled.

From this page you can:

  • Edit settings for an individual property (click the pencil icon)
  • Enable or disable Tours for a property
  • Bulk-edit multiple properties at once
  • Access Default Property Settings (applies to all properties)
  • Access the widget link for any property (globe icon)

Default Property Settings vs. Individual Property Settings

Default Property Settings act as a template that applies to all new properties when Tours is enabled on them.

  • Click Default Property Settings to edit these defaults
  • Changes saved here apply only to new properties going forward
  • To apply changes to all existing properties, click Apply Default Settings

 

Caution: Clicking Apply Default Settings will override the settings on every existing property. Use this carefully! If individual properties have been customized, those customizations will be lost. However, choosing Apply Default Settings leaves your Email Settings unaltered if unique customizations were already configured for a specific property.

Key Settings to Configure

General Settings

Tour Status Use this toggle to activate or deactivate the booking widget for a specific property.

 

Note: Activating this feature may result in additional fees being applied to your account billing.

Preview Availability This button link appears exclusively for buildings with active Tours and designated leasing agents. The availability preview is limited to agents utilizing property-specific schedules.

 

Note: agents with general availability configurations will not be included in this specific pop-up display.

Property Time Zone Strongly recommended for any client with properties in multiple time zones. Without this setting, the widget displays times based on the company's default time zone, which can cause a 2–3 hour discrepancy for properties in different regions.

 

Tip: Setting the property time zone is one of the most important and most frequently missed settings with properties across multiple provinces. We recommend enabling it during onboarding if you have properties in more than one time zone.

Tour Settings

Tour Duration How long each tour is scheduled to last (e.g., 30 minutes, 60 minutes). This determines how the calendar blocks time for each booking.

Time Slot Increment How frequently time slots are displayed in the booking widget. For example, a 30-minute increment shows slots at 12:00, 12:30, 1:00, 1:30, etc.

Minimum Notice The minimum amount of advance notice required before a tour can be booked. For example, a 2-hour minimum means a prospect cannot book a tour that starts less than 2 hours from now.

Buffer Before Tour A hidden time block added before each tour. This prevents back-to-back bookings and gives the agent time to prepare.

Buffer After Tour A hidden time block added after each tour. For example, a 30-minute buffer after a 3:00 PM tour blocks 3:30–4:00 PM from being booked.

Booking Window Limits how far in advance a client is able to book a tour. Entering 7 days means only the next seven days, including today, will be shown to the prospect in the widget.

 

Note: if you leave it blank the prospect can book as far into the future as they want

Auto-Approve Tour Requests When enabled, all tour requests are confirmed immediately upon submission: no agent action required. The agent simply receives a confirmed notification and the tour appears on their calendar. This is a popular setting for teams that want to streamline the booking process.

Widget Title Display Choose how the property is identified at the top of the booking widget:

  • Show property name only
  • Show address only
  • Show both (default)

 

Tip: If the property name and address are the same (e.g., the building is simply named after its address), showing both results is repetitive text. In these cases, select Show Address Only.

Email Settings

Tour Email Notification Confirmations and cancellations will be sent to the agent assigned to the tour or the custom email address based on what is selected

"Reply To” Email If prospects reply to the automated email, this field will dictate where the reply is delivered. Below are the options and how they will behave:

    • Agent Email who the tour is assigned to
  • Property Email The contact email set up in the property details
  • Custom A custom email address

BCC Options On/Off

  • BCC for Tracking: Sends a copy of confirmed tour notifications to a tracking email, no confirm/reject options included.
  • BCC for Managers: Sends a copy to a manager's email with the ability to confirm or reject the tour. Useful for oversight of new agents.

Custom Application URL For clients who want to include a property-specific rental application link in any automated emails, the URL can be added here. This URL can be referenced using the [[tour_property_custom_url]] interpolation tag in prospect messages.
