IVR Prompts and Recording Disclaimer
Customize what callers hear when they interact with your IVR menu.
There are three types of audio your IVR plays to callers: the greeting, route prompts, and the recording disclaimer. All use text-to-speech (TTS), meaning you type the text and the system reads it aloud to callers. If a field is left empty, the caller will hear silence at that step and the call will continue.
Navigate to IVR prompt settings
- Click "Leads" from the main navigation bar
- Click "Call Tracking" from the sub menu
- Click "IVR" to expand the section
- Click "Properties”
- Click on the property name you want to configure
- Expand the "Greeting, Routing, and IVR" section under the relevant tab ("On Hours" or "Off Hours (Fallback)")
Set the greeting
The greeting is the first thing callers hear when the IVR answers. Use it to welcome the caller and introduce the menu options.
Tip: Example: "Thank you for calling Maple Tower. Please select from the following options."
Update the text in the "Greeting" field and click "Save Settings" to finish.
Set route prompts
Each route has two prompt fields:
- Menu Prompt Text: what the caller hears when the menu lists this option (e.g., "For leasing inquiries, press 1.")
- Connecting Message Text: what plays after the caller selects this route (e.g., "Connecting you to our leasing team now.")
To update prompts for a route:
- Click on a route to expand it
- Fill in "Menu Prompt Text" and "Connecting Message Text"
- If language switching is enabled, fill in the French versions of each field as well: "Menu Prompt Text (Fr)" and "Connecting Message Text (Fr)"
- Click "Save Settings" to finish
Note: If a prompt field is left empty, the caller will hear silence at that step. The call continues, but it will sound incomplete. Make sure all active routes have prompts filled in before going live.
Update the recording disclaimer
A recording disclaimer plays automatically on every IVR call after the caller selects a route and before they are connected to your team. This cannot be disabled.
The disclaimer text is customizable. If the field is left blank, a Rentsync default disclaimer will play instead.
- Click "Leads" from the main navigation bar
- Click "Call Tracking" to expand the section
- Click “Call and Text settings” in the sub menu
- Find the "Recording Disclaimer" field on the left hand side of the page
- Enter your preferred disclaimer text by clicking on the “Edit Disclaimer” button
- Agree to the terms and conditions by clicking “I agree”
- Click "Save Settings" to finish
Note: The recording disclaimer applies to all call tracking numbers associated with the property.
